Students and academic advisors running Degree Progress & Transcript Reports are now able to see which in progress courses may lose credit at the end of the term due to the course being equivalent or a repeat of a previously completed course and the repeatability limits for the course have been exceeded.

New application gives the ability to faculty and staff to keep track of the frequency and content of meetings with students (graduate and undergraduate). Staff are able to monitor the number, dates, and types of contacts (office, email, phone, committee, etc) with any given student, as well as to record the content of the meeting and, if desired, make that information available to other staff and to the student. This SIS tracking system is the beginning step in having Academic Advising records be part of the official Indiana University supported and maintained academic record.
Academic Advising	Learning Management Usability: Add Deceased Indicator	SIS 06-4: July
Added a Deceased indicator in primary New Drop-In Advisees page so that staff will know if a student is deceased. The indicator appears proximate to the Service indicators.

If the student has set up IU Email, the name now appears on the primary New Drop-In Advisees page as a link and staff may send messages to student directly from that page.

Academic Advising	Grade Forgiveness, Academic Bankruptcy, and Restart (GF) Part I Technical Infrastructure: Implementation of IU Faculty Policy	SIS 06-5: Dec
All campuses have either a campus-wide or program-specific faculty policy allowing one of these GF options. GF does not impact the IU earned hours or GPA, but does impact Student Program statistics which are used in the decisions to award IU and Purdue degrees. The policies which govern GF throughout the system are not uniform. Grade Forgiveness has long been an academic policy on some campuses but was never implemented in the legacy system. The December implementation was purely technical. We anticipate that all business practices will be finalized and in place across the system next semester. There are many parts of the Grade Forgiveness modification, some aspects can be used immediately and others are delayed until spring 2007.

The new Derived List for Repeat Codes including GF codes significantly increase the usability of the degree progress reports for students and administrative users. Training materials will be updated and available soon.

Degree GPA and Degree Earned Hours tracking at the time of degree awarding is now available on the Program/Plan Stack, and Degree pages within SIS in addition to the batch Graduation Reporting Process.

Audit records are now available documenting when a student's record has been adjusted due to changes in the Course Catalog or Course Equivalent Groups.

Created a generic test score batch file upload to allow various departments to submit test score results to be loaded into the SIS using just the fields from the test panels.

Allowed applicants to reserve and use their IU network ID for easier access to services within OneStart such as the application status check. To begin the process an email notification is sent to applicants.
Campus Community	Move Campus Id to External Id	SIS 06-1: Jan
SSN and IUIS SIDN data from the Campus ID field is now stored in the External ID field in the Mainframe "MF" type. Additionally Purdue Degree program students throughout time through Spring 2006 census had their SSN and SIDN data stored in the External ID field as the Purdue "WF" type. IUPUI offices from this point forward have to manually maintain this connection with the Purdue West Lafayette system. Offices impacted: IUPUI Graduate School and IUPUI Registrar office.

This process created a checklist for any student where FA Term is being built in projection and the student has FA Term records at more than one campus. This is being done as FA Term does not calculate the class level correctly for students who are built in projection and have FA Term built on more than one campus for the same term. This checklist stops Stafford loans from disbursing in order to ensure that the class level has been calculated correctly for that student.

Search records for Financial Aid pages now require that all 10 digits of the EMPLID be entered if searching by EMPLID. Partial entry of an EMPLID is not allowed. This was implemented because searching on partial EMPLID causes major performance issues within the SIS and by restricting EMPLID searches to all 10 digits, system performance is not impacted.

On the PeopleSoft Third Party Contract Page, (custom IU Page) added an entry field for financial aid item type for dual entered awards. This allows the financial staff to run reports comparing amounts in financial aid to the amounts in the third party contract. It creates the item type mapping that is needed for proper monitoring of non-state dual entered awards.

Added link on Financial Aid Status page so that permanent comments can be easily selected and reviewed. This was to be done via rolling forward permanent comments but it was decided a hyperlink on this page would be much more efficient and effective.

UITS implemented changes to make the OneStart SIS Self-Service environment available to students in a near 24x7 timeframe.
Self-Service	SIS Self-service Usability Enhancements	SIS 06-3: June
Collapsed/combined channels reducing the number of channels to seven. Edited page layout from three columns to two. New channels created with new sub-headers: Registration and Classes (Registration, Classes), and Bursar and Financial Aid (Billing/Bursar, Financial Aid). Recreated the Academic Services channel with three sub-headers: Advising, Transfer Services, Grades and Transcripts.
Self-Service	Extend OneStart SIS Self-Service Hours of Availability	SIS 06-5: Dec
There are new expanded hours of availability in self-service for students and faculty. The new hours are Monday Friday all day except 5 a.m. to 6 a.m.; Saturday from 6 a.m. to midnight; and Sunday 8 a.m. to 5 a.m. Monday morning. The hours for staff did not change.
Self-Service	New OneStart Role for Former Students	SIS 06-5: Dec
The Bursars requested a mechanism for former students who owe money to the university to be able to retain their network ids so that they can access SIS Self-Service and pay their bursar bills. The Registrars also requested to allow former students to have access to SIS Self-Service so that they can get an unofficial transcript.

Added a link to Job Aids on the Training Team channel for SIS Admin.
Student Financials	Anticipated Aid Net of Origination Fee	SIS 06-2: Feb
This modification resulted in the anticipated aid amount being net of the loan origination fee when shown on a bursar bill. The end result is that the net balance due on a bursar bill is more accurately reflected.
Student Financials	Summer Term/UBO Enhancement	SIS 06-2: Feb
This modification allowed income/expense allocation based on session(s) of the single summer term.
Student Financials	Summer Term Income/Expense Attribution	SIS 06-3: June
This modification broke out the summer income and expenses in SF to the appropriate fiscal year. For income and expenses associated with Summer Session 1, these are now associated with the current fiscal year. For income and expenses associated with Summer Session 2, these are now associated with the fiscal year that starts in July. Prior to this modification the income and expenses were booked to the fiscal year when the items came from SF to the general ledger and there was no good way to break out the income and expenses associated with the major summer sessions.
Student Financials	Student Billing Past Due Amt	SIS 06-4: July
Currently bills produced out of the SIS do not print a past due amount. This medication to the billing programs added a past due amount to a student's bill.

This modification added the campus bursar address to a receipt produced out of the SIS.

This modification added a link on the SF customer account page that would allow SF users a quick way to get see a students personal and address data.
Student Financials	Batch Refunding Criteria Audit	SIS 06-4: July
This project replaced the IUIE batch refund report and now runs out of SIS and in real time.
Student Financials	Description on sponsor reversal transaction	SIS 06-4: July
Currently the description on sponsor reversal transactions defaults to a standard description which does not provide useful information to the sponsors. This modification allows the SF user to provide a description of the reversal, and if the SF user does not provide a reversal description then the process defaults to the item type description.
Student Financials	Non-Resident Alien (NRA) Process	SIS 06-5: Dec
The NRA process was revised so that it can identify students receiving USAID grants that are paying per diem and not treat these grants as income subject to tax withholding.
Student Financials	1098 Preparation for 2006 Tax Year	SIS 06-5: Dec
In compliance with federal requirements, the 1098T form is available for student via self service.

Changes were made to the IU TPC (Third Party Contract) Request page to support additional approvals by campus Financial Aid offices. At this time only the Bloomington campus has implemented these additional edits.
Student Records	Ad Astra Web Client for Departments	SIS 06-2: Feb
To improve the overall performance of our purchased Room Management system, Ad Astra, the web client that they deliver has been configured and installed. Use of the Web Client assists those who need access to room use data, but do not do room scheduling with the application.
Student Records	Add Class Number to Class Roster Page	SIS 06-2: Feb
At the request of faculty throughout the system, the "Class number" has been added to the roster display in OneStart.
Student Records	Prior Term Copy for Enrollment Totals and Rooms	SIS 06-2: Feb
This modification considerably decreased the amount of time dedicated to the construction of a viable semester schedule of classes to support each term. The addition of class enrollments during the construction process enable personnel to quickly target room types and buildings during the construction process. The ability to carry over room assignment greatly decreased the amount and type of recurring data entry that must occur for classes controlled by departments that will re-use the same facility each term/year. Resetting the enrollments prepared the schedule for registration.

The Ad Astra software was moved to a new hardware platform to insure that the software would run in the best available environment.
Student Records	Negative Service Indicators on Transcript Request Page	SIS 06-2: Feb
There are over 500,000 transcript produced throughout the IU system each year. For each of the students, a Service Indicator has to be checked in order to determine if they have a "hold" on their record that makes them ineligible to receive a transcript. This request eased the operational burden for those who produce transcripts by displaying the Service Indicators that prohibit transcript production directly on the Transcript Request page.
Student Records	Hide Schedule of Classes Terms that are "Under Construction"	SIS 06-3: June
This enhancement allows you to switch on and off the Class Search display of the schedule of classes per term. There is a new page where you will check or uncheck the release and add an effective date for each schedule. In addition, the class search page has been updated to show a drop down on term of only the active schedule terms.
Student Records	Improve Registration - Edit to Variable Units	SIS 06-3: June
This enhancement displays the variable unit range for the class next to the field to enter the units. This now displays in Enrollment Request, Quick Enroll and Self-service. The variable unit field defaults to 99.00 and there is an edit requiring the student or admin user to enter a valid value that is within the displayed range.
Student Records	Improve Registration - Maintain "Drop If Enrolled"	SIS 06-3: June
This enhancement created two pages in the system, one for administrators and one for student self-service. The purpose of these pages is to provide a location for the Drop Class if Enrolled field to be maintained on a waitlisted class. The user is able to add, drop or change the DIE value. There are two edits that run. One checks that the student doesn't go over their maximum hours. The other checks that the class added or changed in the Drop Class if Enrolled Field is the same as the waitlisted class.

Optimized the retrieval of prompted information on the Grade Input field.

Added a message area to the top of the page for messages and reminders. Messages include a reminder to save frequently, or that the grade roster has been saved if grades have been entered. After pushing the approved/submit button, there's a message that the grade roster has been submitted.

Roster Status and Roster Type have been added to the Select Grade Roster page. When you click link to desired class, there is now a status column to reflect the status of the roster.

This update query allows Registrars to reset the enrollment and waitlist totals by term before the prior term copy process is run.
Student Records	Grade Usability Part II: Add Date of Death and FERPA to PERSONAL_DATA Audit Trigger	SIS 06-4: July
This is an enhancement to the auditing on the Personal Data table. When the Date of Death and FERPA fields change, these are now captured in the personal data audit table retrievable in the IUIE.
Student Records	Grade Usability Part II: Creating Autosave feature for the entering of grade rosters via self service	SIS 06-4: July
This enhancement was requested as part of the self service grade usability improvements. When entering grades into the grade roster in self service, the system now automatically saves grades after X minutes of inactivity. This is to help prevent grades from being lost if a session should time out. Faculty and staff entering grades should still save their work before exiting grade entry.
Student Records	Grade Usability Part II: Separate message for "failed tuition recalc" vs "no terms to calc"	SIS 06-4: July
A previously installed enhancement automatically recalculated tuition of appropriate terms for a student if an operator or batch job attempted to discontinue ("cap") a program/plan stack. In the original release, a single message (displayed as a dialog box) was used to indicate two very different situations of the student. Now, different messages are displayed when either tuition calculation fails due to an error or when there are no terms to recalculate.
Student Records	Grade Usability Part II: Turning on Grade Change Audit feature in SIS	SIS 06-4: July
A delivered process to audit grade changes has been turned on in the SIS. After a grade is initially entered, any changes to that grade are captured in an audit table, which is available to be searched or displayed as needed. The audit table holds a record of the grade before and after the change. This does not include grade changes made via batch processes or made prior to this release. The Grade Change Audit component adds additional audit/archive functionality to our existing environment.
