Repeat Checking on "In Progress" Coursework

Students and academic advisors running Degree Progress & Transcript Reports are now able to see which in progress courses may lose credit at the end of the term due to the course being equivalent or a repeat of a previously completed course and the repeatability limits for the course have been exceeded.

New application gives the ability to faculty and staff to keep track of the frequency and content of meetings with students (graduate and undergraduate). Staff are able to monitor the number, dates, and types of contacts (office, email, phone, committee, etc) with any given student, as well as to record the content of the meeting and, if desired, make that information available to other staff and to the student. This SIS tracking system is the beginning step in having Academic Advising records be part of the official Indiana University supported and maintained academic record.

Grade Forgiveness, Academic Bankruptcy, and Restart (GF) Part I Technical Infrastructure: Implementation of IU Faculty Policy
SIS 06-5: Dec
All campuses have either a campus-wide or program-specific faculty policy allowing one of these GF options. GF does not impact the IU earned hours or GPA, but does impact Student Program statistics which are used in the decisions to award IU and Purdue degrees. The policies which govern GF throughout the system are not uniform. Grade Forgiveness has long been an academic policy on some campuses but was never implemented in the legacy system. The December implementation was purely technical. We anticipate that all business practices will be finalized and in place across the system next semester. There are many parts of the Grade Forgiveness modification, some aspects can be used immediately and others are delayed until spring 2007.

SSN and IUIS SIDN data from the Campus ID field is now stored in the External ID field in the Mainframe "MF" type. Additionally Purdue Degree program students throughout time through Spring 2006 census had their SSN and SIDN data stored in the External ID field as the Purdue "WF" type. IUPUI offices from this point forward have to manually maintain this connection with the Purdue West Lafayette system. Offices impacted: IUPUI Graduate School and IUPUI Registrar office.

This was implemented because searching on partial EMPLID causes major performance issues within the SIS and by restricting EMPLID searches to all 10 digits, system performance is not impacted.

This allows the financial staff to run reports comparing amounts in financial aid to the amounts in the third party contract. It creates the item type mapping that is needed for proper monitoring of non-state dual entered awards.

There are new expanded hours of availability in self-service for students and faculty. The new hours are Monday Friday all day except 5 a.m. to 6 a.m.; Saturday from 6 a.m. to midnight; and Sunday 8 a.m. to 5 a.m. Monday morning. The hours for staff did not change.

New OneStart Role for Former Students

The Bursars requested a mechanism for former students who owe money to the university to be able to retain their network ids so that they can access SIS Self-Service and pay their bursar bills. This modification broke out the summer income and expenses in SF to the appropriate fiscal year. Prior to this modification the income and expenses were booked to the fiscal year when the items came from SF to the general ledger and there was no good way to break out the income and expenses associated with the major summer sessions.

Prior Term Copy for Enrollment Totals and Rooms

This modification considerably decreased the amount of time dedicated to the construction of a viable semester schedule of classes to support each term. The addition of class enrollments during the construction process enable personnel to quickly target room types and buildings during the construction process. The ability to carry over room assignment greatly decreased the amount and type of recurring data entry that must occur for classes controlled by departments that will re-use the same facility each term/year. Resetting the enrollments prepared the schedule for registration.

Negative Service Indicators on Transcript Request Page

There are over 500,000 transcript produced throughout the IU system each year. For each of the students, a Service Indicator has to be checked in order to determine if they have a "hold" on their record that makes them ineligible to receive a transcript. This request eased the operational burden for those who produce transcripts by displaying the Service Indicators that prohibit transcript production directly on the Transcript Request page.

Hide Schedule of Classes Terms that are "Under Construction"

This enhancement allows you to switch on and off the Class Search display of the schedule of classes per term. There is a new page where you will check or uncheck the release and add an effective date for each schedule. In addition, the class search page has been updated to show a drop down on term of only the active schedule terms.

Improve Registration - Edit to Variable Units

This enhancement displays the variable unit range for the class next to the field to enter the units. This now displays in Enrollment Request, Quick Enroll and Self-service. The variable unit field defaults to 99.00 and there is an edit requiring the student or admin user to enter a valid value that is within the displayed range.

Improve Registration - Maintain "Drop If Enrolled"

This enhancement created two pages in the system, one for administrators and one for student self-service. The purpose of these pages is to provide a location for the Drop Class if Enrolled field to be maintained on a waitlisted class. The user is able to add, drop or change the DIE value. There are two edits that run. One checks that the student doesn't go over their maximum hours. The other checks that the class added or changed in the Drop Class if Enrolled Field is the same as the waitlisted class.

Grade Usability Part II: Creating Autosave feature for the entering of grade rosters via self service

This enhancement was requested as part of the self service grade usability improvements. When entering grades into the grade roster in self service, the system now automatically saves grades after X minutes of inactivity. This is to help prevent grades from being lost if a session should time out. Faculty and staff entering grades should still save their work before exiting grade entry.

Grade Usability Part II: Separate message for "failed tuition recalc" vs "no terms to calc"
SIS 06-4: July
A previously installed enhancement automatically recalculated tuition of appropriate terms for a student if an operator or batch job attempted to discontinue ("cap") a program/plan stack. In the original release, a single message (displayed as a dialog box) was used to indicate two very different situations of the student. Now, different messages are displayed when either tuition calculation fails due to an error or when there are no terms to recalculate.

Grade Usability Part II: Turning on Grade Change Audit feature in SIS

A delivered process to audit grade changes has been turned on in the SIS. After a grade is initially entered, any changes to that grade are captured in an audit table, which is available to be searched or displayed as needed. The audit table holds a record of the grade before and after the change. This does not include grade changes made via batch processes or made prior to this release. The Grade Change Audit component adds additional audit/archive functionality to our existing environment.
